What a firm gets

A case book of matters and clients

Every case the firm tracks sits in one book that the whole firm sees. Cases are grouped into matters, and matters belong to clients, so a client with a bail application in the Sessions Court and a quashing petition in the High Court is one client with two matters, not two unrelated rows. Case tracking works in the Supreme Court, High Courts and district courts across India; the court pages say what CourtWatch reads at each one.

Tomorrow's board and the hearings pack

The board lists tomorrow's hearings for the firm: court, courtroom and item number where the cause list gives one, the advocate appearing, and the last remark on the file. The hearings pack is the same board laid out for printing, one sheet a court, for the clerk who goes ahead to the court complex.

Proxy appearances and leave

When the advocate on a matter cannot appear, assign a proxy from the board and write a handover note: what happened last time, what to ask for, which documents are on file. Mark a member's leave and the board flags every hearing in that period that still needs someone to appear.

Tasks, deadlines, filings and certified copies

Tasks carry an owner and a due date. Limitation and filing deadlines sit against the matter they belong to. Filings and certified-copy applications are tracked from the date they go in to the date they come back, which is usually the clerk's register kept on paper.

A calendar feed

Each member gets a private calendar address that Google Calendar, Apple Calendar or Outlook can subscribe to, so hearings and deadlines show up next to everything else in the day.

Documents

Upload pleadings, orders and correspondence against a matter. Files are stored encrypted, and uploading a new draft keeps the earlier versions.

Client share links

Send a client a link to their case. They join with their own CourtWatch account and follow the hearings and updates themselves, without taking one of the firm's seats.

GST billing

Roles and access

Three roles: admin, member and clerk. A clerk runs the board, the filings and the certified copies, and never sees billing. Mark a matter confidential and only the firm's admins and the members on it can open it. Members can turn on two-step login. An admin can export the firm's data at any time.

How a day works

  1. By 8 in the morning the WhatsApp reminders for the day's hearings have gone out, and the board shows who is appearing where.
  2. The advocate appears, or the proxy does, with the handover note in hand.
  3. After the hearing, whoever appeared records a remark and the next date. The next date goes on the board and into the calendar feed.
  4. The appearance fee is entered against the matter while it is fresh.
  5. At the end of the month the unbilled work becomes an invoice, with GST worked out the way the client is registered.

FAQ

Can the invoice be raised under reverse charge?

Yes. Each invoice is raised with GST charged, under reverse charge, or as a bill of supply. Which one applies depends on the client and on your registration, so you choose it per invoice.

How is TDS handled?

When a client deducts TDS, record the TDS amount with the payment. The invoice counts the payment and the TDS together towards its balance, so it closes as paid instead of showing a shortfall.

Can a clerk see the firm's billing?

No. A clerk seat has no access to invoices, payments, fees or reports. Clerks work the board, tasks, filings and certified copies.

What does a confidential matter do?

Only the firm's admins and the members on a confidential matter can open it, its documents or its fees. For everyone else in the firm it stays hidden, and a search that touches it shows no parties.

What happens when a member leaves?

When the admin removes a member, the admin decides for each case the member brought whether it goes with them, stays with the firm, or both. Matters they were handling pass to the admin. The member keeps their own CourtWatch account.

Can we take our data out?

Yes. An admin can export the firm's data as one download: matters, cases, clients, tasks, remarks, fees, invoices and payments as spreadsheets, and the documents as files.

Your firm's data is stored on our servers in India.
